How to turn meeting notes into clear action items

Good meeting follow-up answers three questions: what needs to happen, who owns it, and when it is due. AI can draft that structure quickly, but the source notes remain authoritative.

Use notes with explicit commitments

Include the names, dates and decisions actually stated in the meeting. For example: “Maya will review pricing Thursday” is easier to extract accurately than “pricing discussed.”

Do not let the tool guess

If the notes do not identify an owner or date, the output should say “Unassigned” or leave the date blank. A confident-looking invented assignment creates more work than it saves.

Review before distributing

  1. Compare every task with the original notes.
  2. Confirm owners and dates with attendees.
  3. Remove discussion points that were not commitments.
  4. Move approved tasks into your normal project system.
